Downey Digital LLC (the “Company”) is committed to maintaining robust privacy protections for its users. Our Privacy Policy (“Privacy Policy”) is designed to help you understand how we collect, use and safeguard the information you provide to us and to assist you in making informed decisions when using our Service.
For purposes of this Agreement, “Site” refers to the Company’s website, which can be accessed at volunteertracker.org. “Service” refers to the Company’s services accessed via the Site, in which users can upload content and files related to online training or certification. The terms “we,” “us,” and “our” refer to the Company. “You” refers to you, as a user of our Site or our Service.
This policy describes how we handle information when you use our Site and Service. Browsing the Site does not give consent to optional tracking. See our Terms of Use for the terms governing use of the Site.
I. Information We Collect
Information we collect includes account and contact details, such as names, email addresses, phone numbers and organization affiliations, as well as information authorized users enter into the Service. This may include volunteer and participant records, training and certification information, and uploaded files. Technical identifiers and usage information, such as IP addresses, cookie identifiers, browser and device details, page URLs and site interactions, may also be personal information, including when linked to other information. We do not treat information as outside our privacy protections simply because it does not include a name.
1. Information collected via Technology
On this public website, essential storage remembers your privacy choices and supports site functionality. Analytics and Marketing cookies are optional and start off. Accept All enables both. Preferences lets you choose them separately or select Reject Optional to keep both off. Rejecting optional cookies does not prevent you from using the site. We use Google Tag Manager to load permitted tags after you choose. Analytics uses Google Analytics to understand site usage. Marketing uses Meta and Reddit pixels to measure advertising effectiveness on public marketing pages. We do not enable Google advertising personalization or user-provided advertising data through these choices.
Your choice, its timestamp, and the consent-policy version are stored locally in your browser. Your saved choice is valid for 180 days from when you last save it, unless you clear site storage or we change the consent-policy version. Cookie Preferences in the footer lets you change or withdraw consent at any time. Changes after tracking starts reload the page to stop loaded scripts and apply the new permissions. While your browser sends Global Privacy Control, both Analytics and Marketing stay off, even if you previously accepted them. A material change to our consent policy will ask you to choose again.
Events sent by our public website's own analytics code use public page names and predefined interaction labels. That code excludes form entries, league prefixes, query parameters and URL fragments from its event fields. Contact forms send the information you submit to our form provider to handle your request. Payment and booking links open the relevant service, whose own privacy practices apply. Analytics consent also enables our YouTube video preview; before consent, you can choose to open the video on YouTube instead. These public-site controls do not configure the separate authenticated Service.
2. Information you provide us by registering for an account
In addition to the information provided automatically by your browser when you visit the Site, to become a subscriber to the Service you will need to create a personal profile. You can create a profile by registering with the Service and entering your email address, and creating a user name and a password. By registering, you are authorizing us to collect, store and use your email address in accordance with this Privacy Policy.
3. Children’s Privacy
The Site and Service are intended for organizations and their authorized adult users, not for children under 13 to create accounts or use directly. This is different from information about children or youth participants that authorized adult users enter and manage on behalf of their organizations. The Service may hold those participant records as part of the organization's volunteer and program administration.
Organizations are responsible for ensuring they are authorized to provide and manage this information, including obtaining any required permissions. Parents and guardians can contact the relevant organization about a participant's records, or contact us at admin@volunteertracker.org for help with a privacy concern. If you believe a child under 13 has provided information directly through their own use of the Site or Service, please contact us so we can investigate and take appropriate action, including deletion where appropriate.
II. How We Use and Share Information
Except as otherwise stated in this Privacy Policy, we do not sell, trade, rent or otherwise share for marketing purposes your information with third parties without your consent. We do share information with vendors who are performing services for the Company, such as the servers for our email communications who are provided access to the user’s email address for purposes of sending emails from us. Those vendors use your information only at our direction and in accordance with our Privacy Policy.
We use the information you provide to operate the Service and communicate with you. For example, we use it to contact users in response to questions, solicit feedback from users, provide technical support, and inform users about promotional offers.
We may share information with outside parties if we have a good-faith belief that access, use, preservation or disclosure of the information is reasonably necessary to meet any applicable legal process or enforceable governmental request; to enforce applicable Terms of Service, including investigation of potential violations; address fraud, security or technical concerns; or to protect against harm to the rights, property, or safety of our users or the public as required or permitted by law.
In the event we undergo a business transaction such as a merger, acquisition by another company, or sale of all or a portion of our assets, your information may be among the assets transferred. You acknowledge and consent that such transfers may occur and are permitted by this Privacy Policy, and that any acquirer of our assets may continue to process your information as set forth in this Privacy Policy. If our information practices change at any time in the future, we will post the policy changes to the Site so that you may opt out of the new information practices. We suggest that you check the Site periodically if you are concerned about how your information is used.
III. How We Protect Information
We implement security measures designed to protect your information from unauthorized access. Your account is protected by your account password and we urge you to take steps to keep your personal information safe by not disclosing your password and by logging out of your account after each use. We further protect your information from potential security breaches by implementing certain technological security measures including encryption, firewalls and secure socket layer technology. No Internet service or information-storage system can guarantee absolute security.
IV. Your Privacy Rights and Choices
You can request access to, correction of, or deletion of information about you, where appropriate, by emailing admin@volunteertracker.org. Please describe your request and identify the organization associated with your records, if relevant. We may need to verify your identity and authority before responding. For records managed by an organization, we may coordinate with that organization or direct you to its administrator. Requests are subject to applicable requirements and any information we need to retain for legal, security or service obligations.
You can opt out of promotional emails using the unsubscribe instructions in those emails or by contacting us at the address above. We may still send administrative communications about your account or the Service. You can also use Cookie Preferences in the public website's footer to change or withdraw Analytics and Marketing consent. Cookie choices and email preferences are separate controls.
V. Links to Other Websites
As part of the Service, we may provide links to or compatibility with other websites or applications. However, we are not responsible for the privacy practices employed by those websites or the information or content they contain. This Privacy Policy applies solely to information collected by us through the Site and the Service. Therefore, this Privacy Policy does not apply to your use of a third party website accessed by selecting a link on our Site or via our Service. To the extent that you access or use the Service through or on another website or application, then the privacy policy of that other website or application will apply to your access or use of that site or application. We encourage our users to read the privacy statements of other websites before proceeding to use them.
VI. Changes to Our Privacy Policy
The Company reserves the right to change this policy and our Terms of Service at any time. We will notify you of significant changes to our Privacy Policy by sending a notice to the primary email address specified in your account or by placing a prominent notice on our site. Significant changes will go into effect 30 days following such notification. Non-material changes or clarifications will take effect immediately. You should periodically check the Site and this privacy page for updates.
VII. Contact Us
If you have any questions regarding this Privacy Policy or the practices of this Site, please contact us by sending an email to admin@volunteertracker.org.
